Designing a Unified Workspace for Business Management

Designing a Unified Workspace for Business Management

Role

Solo Product Designer

• Conducted interviews with 40 users across different experience levels

• Defined the product framework and information architecture

• Designed interaction models for filtering, reminders, and collaboration

• Created prototypes and ran usability testing with 30+ participants

• Produced high-fidelity concept designs

Focus

Friendship+ is a concept product designed at Acer to simplify business management by integrating multiple workflows into a single system.

The project explored how CRM, project management, scheduling, transactions, and collaboration could be combined into one unified workspace to reduce fragmented workflows.

Problem

Business professionals often rely on multiple unrelated apps to manage daily work.

Customer communication may happen through social networks or messaging apps, project tasks may be tracked in separate tools, and transactions or schedules may be managed elsewhere.

This fragmentation creates inefficient workflows, scattered information, and difficulty retrieving important data quickly.

The challenge was to design a system that consolidates these activities while remaining simple and intuitive to use.

Solution

Friendship+ was designed as a business management hub that integrates multiple workflows into a single structured environment.

Core modules included:

• CRM for managing customer relationships

• Project management with task breakdown and collaboration

• Business calendar and to-do tracking

• Transaction management and reminders

• Messaging and team collaboration

These modules share a common data structure, allowing users to access related information across different parts of the system.

For example, a customer record can connect directly to projects, communications, schedules, and transactions.

Key Design Highlights

Dashboard for Immediate Awareness

The dashboard provides an overview of urgent and important items across the system, allowing users to quickly understand the current state of their business activities.

Integrated Data Structure

Customers, projects, schedules, transactions, and communication are connected within the same system.

This allows users to access related information without switching between multiple applications.

Powerful Filtering and Retrieval

Because business data grows quickly, filtering and indexing were designed as core features to help users locate information rapidly.

Users can search and filter data across customers, projects, tasks, and transactions.

Outcome

User testing showed that more than 75% of participants felt they could manage most of their daily business workflows within the system.

Although Friendship+ was proposed as a product concept at Acer and development was not continued, the project demonstrated how consolidating fragmented tools into a unified system could significantly improve efficiency in business management.

Impact

• Clarified ambiguous social boundaries by making relationship expectations and intentions more explicit

• Reduced user anxiety in early-stage interactions by structuring communication around mutual understanding

• Encouraged more honest and intentional connections by aligning user expectations before engagement

• Improved overall interaction quality by addressing emotional friction in social discovery experiences
